Accessibility Features

We have designed Privacy Bird® to work with screen readers. However, the beta version may not work with all screen readers on all platforms. It has been tested with JAWS 4.0 and JAWS 3.7 screen readers on Windows NT and Windows 2000 platforms. It has been tested with JAWS 4.0 and Windows Eyes 4.11 screen readers on Windows 98 and Windows ME platforms.

The main menu (normally accessed by clicking on the bird icon) can be accessed by pressing the F12 key together with the Ctrl and Alt keys twice (Ctrl-Alt-F12 Ctrl-Alt-F12). It can be closed using the ESC key. All menu items can be accessed in two ways: using the standard up/down/right/left arrow keys, or using the short-cut keys announced when you have arrow positioned on an item). Once the desired menu item is selected, pressing the ENTER key will activate that item.

If the shortcut key sequence conflicts with other software on your system, or if you would prefer to use a short-cut key sequence other than Ctrl-Alt-F12, you can change the shortcut key. Click on the bird icon and select My Preferences. Then select Other. This will open the Other Settings dialogue. Use the pull-down menues in the shortcut key area to select alternative shortcut keys. Your new shortcut key settings will not take effect until you restart your browser.

When a dialog box is displayed, the default button (usually 'OK') can be accessed by pressing the ENTER key. The dialog can be closed without saving by pressing the ESC key (equivalent to 'CLOSE' button). Pressing 'H' key will display the help about that dialog box wherever available. Users can navigate through the controls in the dialog box (check-boxes, radio buttons, list items, buttons, etc) by using the standard approach -- i.e., using TAB key and/or the arrow keys. Some of the controls also have short-cut keys (which are announced upon navigating through the items). Selection and data-entry in these controls uses the standard approach as well. For example, checking/unchecking of check-boxes is done by pressing the spacebar.

You can navigate through the help files just as you would with any other standard Windows Help. When the Help opens, the focus is by default on the left (Topics) frame. You can switch between the left frame and the right (Topic Help page) frame using the F6 key. In the left frame, you can navigate through the item using the up/down arrow keys, expand a book by pressing right arrow key or ENTER key, collapse a book by pressing left arrow key or ENTER key. To read a topic's help, select the desired topic on the left frame and press ENTER. This will open up the topic's content in the right frame. You can then press the F6 key to place the focus on the right frame, and the screen reader will read the entire contents of the page. You can navigate back to the left frame any time by pressing the F6 key again.

APPEL Support

Privacy Bird® allows you to import settings files that you have created previously or that you have gotten from other people. You may be able to download these settings files from the web sites of privacy-related organizations. The files must be written using the APPEL 1.0 language.

Privacy Bird will evaluate all rules in a ruleset and include a list of the description fields from all limited rules that fired in the policy summary. It currently does not block cookies or otherwise limit requests. Any block rules are treated as limited rules.

Bird icon

Privacy Bird® displays a bird icon in the top right of your browser's title bar. You can click on the bird at any time to open the Privacy Bird menu.

If you would prefer to relocate the bird, click on the bird icon and select Move Bird. You can then move the bird to the location you prefer. Once the bird is in the desired location, click to drop it there. You can return the bird to the title bar by clicking on the bird icon and selecting Return Bird to Title Bar. Note that when you move the bird off the title bar on one browser window, the bird will disappear from all other browser windows and you will see only one bird icon on your screen. The icon serves as an indicator for whichever browser window is currently in focus.

Green bird - The happy green bird appears when Privacy Bird determines that a web site's privacy policy matches your preferences. If the site contains images or other embedded content that do not have privacy policies associated with them, or that have privacy policies that do not match your preferences, a red exclamation point will appear next to the notes in the bird's song bubble.

Gray bird - The sleeping gray bird appears when Privacy Bird has been disabled.

Red bird - The angry red bird appears when Privacy Bird determines that a web site's privacy policy conflicts with your preferences.

Yellow bird - The uncertain yellow bird appears when Privacy Bird is unable to fetch or read a privacy policy from the web site you are visiting. The policy must be encoded according to the Platform for Privacy Preferences (P3P) standard in order for the Privacy Bird to fetch it. If the policy contains an error or if it has expired or is not valid, the yellow bird will appear. While a web page is loading and Privacy Bird is in the process of looking for the accompanying privacy policy, the yellow bird will appear to be turning its head from side to side. If you wish, you may disable this animation by selecting Disable Animation on the Other Settings panel.

You can also configure Privacy Bird to play a sound after performing a privacy check. A melodic three-note chirp accompanies the privacy policy match (green bird) icon. A three-note "question mark" chirp accompanies the unknown policy (yellow bird) icon. A single crow sound accompanies the privacy policy mismatch (red bird) icon.

Cache

Privacy Bird® keeps a record of the privacy policies at sites users visit. This reduces the need to repeatedly refetch the same policy every time a user returns to a site. Policies are removed from this policy cache after they expire, or when the user clears the cache. To clear the cache, click on the bird icon and select Clear Cache. This is especially useful for web site developers who are testing the P3P policies on their sites.

Note that by default policies expire after 24 hours unless the site has indicated that they can be used for a period longer than that. When a policy expires, it cannot be applied to new visits to the web site. However, it still applies to any data collected while the policy was valid.

When your web browser fetches a web page it often has to fetch several files, including a file containing the text of the page, and files containing graphics, sounds, and other components. Sometimes these files are all provided by the same company or organization. However, sometimes your browser will have to visit the web sites of multiple companies in order to assemble a web page for you. Your web browser figures all of this out automatically and you do not have to worry about how it happens. Besides fetching all of the components in a web page, if you use Privacy Bird®, your browser can find the privacy policies that apply to each component. On some web pages there will be one policy that covers everything. However, on other web pages different policies will apply to different parts of the page. For example, the privacy policy of an advertising company often applies to advertisements embedded in a web site. If Privacy Bird determines that a web page's privacy policy matches your privacy preferences but an image or other object embedded in the page does not have a privacy policy or has a policy that does not match your preferences, the green bird icon with a red exclamation point will appear in your browser title bar.

Embedded Content can be selected from the About This Site menu. Selecting this menu item opens a new window containing a list of all of the images and other files that are embedded in the web page you are currently visiting. You can use this list to view the privacy policy associated with each embedded item. The list has four columns. The first column shows the URL of each embedded object. The second column indicates whether the privacy policy for that object is "Unknown" or whether it matches ("Matched") or conflicts with ("Unmatched") your personal privacy preferences. The third column indicates the type of object. The fourth column indicates the URL of the P3P privacy policy for that object (if known). You can drag the column headings to rearrange the order of the columns. Clicking on a heading will sort the list of embedded objects by the field in that column. Select an object in the list and double click on it to view the corresponding policy summary.

Enabling and disabling Privacy Bird

Privacy Bird should allow you to browse all your favorite web sites without getting in the way of your browsing experience. However, should you find that Privacy Bird does interfere with your use of a web site, you may wish to turn it off. To disable Privacy Bird, click on the bird icon and select Disable Privacy Bird.

When Privacy Bird is disabled the gray sleeping bird icon will appear. To turn the Privacy Bird back on, click on the bird icon and select Enable Privacy Bird.

No-prompt Sites

When you submit a form to a web site, Privacy Bird® checks the privacy policy associated with the form before any data is sent to the site. If no privacy policy can be found or if the policy does not match your preferences, Privacy Bird will prompt you and ask you whether or not you want to proceed to submit the form. You have the option of asking privacy companion not to prompt you again about forms on that site, or not to prompt you about forms on any site. If you change your mind later, you can use the No-prompt Sites window to change your settings.

To configure your no-prompt settings, click on the bird icon and select the My preferences menu item. Then select No-prompt Sites. A window will appear that lists all the sites you have asked not to be prompted at. Click on a site and then click the Delete button to remove the site from the no-prompt list (re-enabling prompts at that site should the site have forms that fail to match your privacy preferences). You can also check or uncheck the box at the top of the window to enable or disable such prompts altogether.

Click the OK button when you have finished making your selections.

Note, that Privacy Bird may not generate warnings for forms at some sites, even if they do not match your preferences and are not on your no-prompt list. This is due to limitations in Privacy Bird's ability to detect all forms.

Opt-in/Opt-out Info

Opt-in/Opt-out Info can be selected from the About This Site menu. Selecting this menu item opens a new window containing the web site's instructions for opting out of or opting in to mailing lists, marketing, etc.

Many web sites will put your name on mailing lists, share some of your personal information with partner companies, or use your information for other purposes not related to the purpose for which you provided the data. In some cases you may find these other uses of your data helpful -- for example if the company sends you coupons for products that you buy frequently -- but in other cases you may wish to request that your data not be used in these ways. Web sites that provide an "opt-out" allow you to request that your data not be used for some of the purposes described in the site's privacy policy. You can often make an opt-out request by filling out a form on the web site, sending an email, or calling a toll free telephone number.

Some web sites do not use your personal information for any purposes unrelated to the purpose for which you provided that data unless you specifically request to have your data used for another purpose. For example, an online store might use your shipping address only to ship your purchases. However, you can request to be put on the store's mailing list so that you will receive its catalog. In this case you are "opting-in" to receiving the catalog.

Platform for Privacy Preferences (P3P)

Privacy Bird® fetches privacy policies from web sites using a standard protocol called the Platform for Privacy Preferences (P3P). P3P was developed by the World Wide Web Consortium (W3C), an international organization that develops many of the important technical specifications behind the World Wide Web.

P3P specifies a computer-readable language for describing web site privacy policies, as well as a protocol for fetching these policies from web sites. The P3P privacy policy language is encoded in XML.

Policy Summary

The Policy Summary panel provides a summary of a web site's privacy policy and an indication as to whether or not that policy matches your personal privacy preferences.

Open the Policy Summary panel by clicking on the bird icon and selecting About This Site from the menu. Then select Policy Summary.

You will see a series of plus and minus signs along the left side of the Policy Summary. Clicking on a plus sign results in the display of more detailed information. Clicking on a minus sign hides some of the detail and results in a shorter summary. The plus/minus sign in the top left corner causes the entire Policy Summary to be expanded or collapsed.

Privacy Policy Check

At the top of the Policy Summary panel is a short "privacy check" section. This section indicates whether or not the policy matches your personal privacy preferences. At sites that match your preferences, the background color of the panel is pale green. At sites that do not match your preferences, the background color is pink. In addition, at sites that do not match your preferences, this section contains a bulleted list of conflict points between your preferences and the site's policy.

Privacy Policy Summary

The second section of the Policy Summary panel is the privacy policy summary itself. This summary includes a list of policy statements, information about the data described in each policy statement, information about whether the site allows you to access your data, information about contacting the site, and information about resolving privacy-related disputes. At the end of the policy summary there is a link to the web site's full privacy policy.

Policy Statements

Web sites often divide their privacy policies into several statements. Each statement describes a group of data that each get processed in similar ways. For example, a site might have one statement that describes the data it collects automatically (what web pages you visit, what time you visit them, etc.) and another statement that describes the data you submit when you fill out an order form.

Some policy statements inclue a brief explanation of the statement immediatly below the statement title. This explanation is written in the web site's own words.

Types of information collected

P3P policies can describe one or more of seventeen predefined categories of data (purchase information, demographics, etc.), or they can describe specific pieces of data (first name, last name, etc.). This section of the policy summary includes a description of each of the categories of data specified by the web site, as well as any specific pieces of data mentioned in the site's policy. The site may label some of this data as "optional" if it is not required in order to obtain services from the web site.

Some sites may collect data that does not fit into any of the predefined data categories. Any description of this data provided by the site is displayed in this section as well.

While some data such as which web sites you visit and what type of computer you use is collected automatically, most data can only be collected if you fill out a form and type it in. Some sites may indicate that they collect a very large number of different types of data. Often these sites have many web pages that include forms for different types of services. Only a small amount of data is collected with any one of these forms.

How your information will be used

P3P policies can describe one or more of twelve predefined uses of data. This section of the policy summary includes a description of each of these data uses specified by the web site. The site may indicate that you may opt-out of some of these uses, or that they may occur only if you opt-in.

Some sites may use data in ways that do not fit into any of the predefined data uses. Privacy Bird® considers such uses to be unknown and warns you whenever you visit such a site. Any description of these uses provided by the site is displayed in this section as well.

Who will use your information

P3P policies can indicate one or more of six types of companies or people that might use your data. This section of the policy summary lists these data recipients.The site may indicate that you may opt-out of having your data shared with some of these recipients, or that your data may be shared only if you opt-in.

Almost every web site indicates that data will be used by "This web site and its agents." Agents may include Internet Service Providers, system administrators, advertising companies, or other people or companies hired by the web site. However, in order to be considered an agent in this context, these people or companies must follow the web site's privacy policy and use the data only for the purposes the web site requested.

Access to your information

Sometimes individuals are interested in finding out what information a company keeps about them in their records. Some companies are willing to make some or all of this information available to individuals upon request. This section of the policy summary indicates whether or not the web site will grant requests from individuals to access their information. If a web site indicates that it will grant such requests, it should provide information about how to make a request in its full privacy policy.

How to resolve privacy-related disputes with this site

This section of the policy summary provides information about how to resolve privacy-related disputes with the web site. Many sites provide a customer service center that can help resolve disputes. And many web sites are also bound to follow specific privacy laws that have provisions for resolving privacy-related disputes.

Blocking Popups

You can configure Privacy Bird® to block popup windows. These are typically small ad windows that pop up when you visit certain sites. However, at some sites, popup windows may contain useful content. If you configure Privacy Bird to block popup windows you may need to turn this off at some sites.

To disable popup windows, click on the bird icon and select the My preferences menu item. Then select Other. Select Block PopUp Windows.

Privacy Preference Settings

The Privacy Preference Settings panel allows you to configure Privacy Bird® according to your personal privacy preferences. When Privacy Bird encounters a web site that does not match your privacy preferences, a red warning icon will appear in your browser title bar.

Open the Privacy Preference Settings panel by clicking on the bird icon and selecting My Preferences from the menu. Then select Privacy.

You may use this panel to select one of the pre-configured settings, select custom settings, export your settings, or import settings.

Pre-configured Settings

The simplest way to select privacy preference settings is to select from one of the pre-configured settings -- low, medium, or high. When you select one of these settings, check marks will appear next to the specific items that will trigger warnings under that setting. The low setting will result in warnings only at web sites that may use or share your health or medical information, or keep marketing or mailing lists from which you cannot be removed. The medium setting includes additional warnings when sites may share your personally identified information or if a site does not allow you to find out what data they have about you. The high setting triggers the maximum number of warnings, and will trigger warnings at most commercial web sites.

Custom Settings

If you are not entirely satisfied with one of the pre-configured settings, you can click on the check boxes to add additional warning triggers or to remove warning triggers.The table below provides more detailed information about each of the warning triggers. Note that you will not be warned at sites that have opt-in policies. For example, if you ask to be warned at sites that my market to you, and you visit a site that will market to you only if you sign up for their mailing list, no warning will be triggered. Also, regardless of your settings, you will also be warned at sites that say they collect data for an unknown purpose (other-purpose in the P3P vocabulary).

For more information about the P3P statements that trigger these warning, please refer to the P3P1.0 specification, available from the W3C P3P web site. Note that Privacy Bird ignores the "optional" attribute of data elements -- thus, the warnings are triggered regardless of whether a site indicates that a data element is optional.

Exporting Settings

Privacy Bird allows you to save your privacy settings into a file so that you can take them with you when you use another computer. In addition, these settings may be used with any P3P tool that is able to read files written using the APPEL 1.0 language.

Importing Settings

Privacy Bird allows you to import settings files that you have created previously or that you have gotten from other people. You may be able to download these settings files from the web sites of privacy-related organizations. The files must be written using the APPEL 1.0 language. Privacy Bird does not support all of the features of APPEL 1.0, however, so only use files that say they are compatible with Privacy Bird.

You can configure Privacy Bird® to play a sound after performing a privacy check. A melodic three-note chirp accompanies the privacy policy match (green bird) icon. A three-note "question mark" chirp accompanies the unknown policy (yellow bird) icon. A single crow sound accompanies the privacy policy mismatch (red bird) icon.

To turn sounds on or off, click on the bird icon and select the My preferences menu item. Then select Other. Select Disable All Sounds to turn sounds off. Deselect Disable Sounds to turn sounds on. You may also disable sounds for each bird icon individually by checking the box for disabling sounds at sites whose policies are Unknown (yellow bird), Unmatched (red bird), or Matched (green bird).

If you prefer sounds to be played only the first time you visit a site during your browsing session, select Disable Sound if Policy is already Cached. If that box is checked, Privacy Bird will only play a sound when it fetches a new policy from a web site. At most sites, a new policy will be fetched if a user returns to the site after 24 hours. At some sites policies will be fetched more or less frequently. In addition, because some sites have more than one policy, sounds will be played multiple times as you navigate through the site.

Test Policies

At some web sites you visit the bird icon will indicate that the site's policy is unknown, and the policy summary will indicate that it is being displayed for testing purposes only. These sites have posted their privacy policies in the P3P format, but have included a "TEST" element to indicate that the privacy policy is provided for testing purposes only. Generally these sites are still experimenting with P3P and do not want to be bound by a privacy policy until they are certain that it is correct.

Uninstalling Privacy Bird®

To uninstall Privacy Bird, go to your Windows Start Menu and select Settings. Then select Control Panel. Then select Add/Remove Programs. You should see Privacy Bird on the list of programs you have installed.
